One standard for all with diverse benefits:  our new HR System Workday is live!

After months of intense preparation, especially by the project team and many HR colleagues around the world, our new global Human Resources System (HRS) Workday is live! From now on, all group companies will use this HRS as our global solution. If you have not signed up yet, it’s about time! We will tell you why!

Every NKG employee will benefit from the new system. You will have easy access to holiday bookings, attendance and absences overviews, direct access to your own personal data and documents, all easily accessible via desktop and app.

For the first time in NKG’s history, we can all stick to the same standards, which is a great benefit for all companies. For example, data in Workday can be used to derive data for the Sustainability Report. In addition, the holding company can get data for different processes, rather than having to go back to the group companies for different topics and run multiple, time-consuming queries.

Workday’s analytics and reporting capabilities give us real-time insight into our HR metrics, such as employee engagement, turnover rates, and diversity and inclusion. With this information, we can make better informed decisions and develop data-driven strategies to drive business growth. Workday will enable our HR departments to automate and digitize our HR processes, saving valuable time and resources that HR can use for strategic HR initiatives to stay competitive. With Workday, we can manage our workforce and HR data across NKG more efficiently, from hiring to retirement.

The implementation of Workday was a strategic decision made by the Board of Management and is an integral part of the future direction of the entire group. As such, the use of Workday is mandatory for all group companies and employees. This is a great example for our goal to strengthen NKG as a group. Bringing all these processes together will save us all time and make working together way easier.

To help you get started, there are a number of videos available that explain the processes and workflows in Workday (see box). For example, you can learn how to change your personal information or request your vacation. Of course, you can also log into Workday and start to discover the system by yourself.

We asked Maren Uzarek, Director Group HR and Project Lead, which Workday feature she particularly likes:

 “We often emphasize that coffee is a people business, and that will become much more tangible and visible in the future. With Workday, everyone has access to a global organization chart. You can find all your colleagues around the world and figure out who works with whom on a team. Of course, the only way this chart will come alive is if we all upload a photo to our profiles. This will help you put a face to all of the names.” (see box!)

Workday is work in progress

Although Workday is now available and everyone has received their login data, the system is not yet “finished”. Many features will be rolled out and made available to individual companies, regions or countries over the next few years. One example is time tracking, which will not be available in Europe until fall 2024 at the earliest. Although much has been tested, there is certainly room for improvement in the system and questions that cannot yet be answered by the available FAQs or videos. Don’t hesitate to reach out to your local HR contact or the Workday team, who will also be available for short Q&A sessions in the near future: workday@nkg.coffee.
